WeBeep ("WeBeep") is a free service aimed at supporting and complementing institutional teaching and learning at Politecnico di Milano ("Polimi").
In order to use WeBeep or access any resources offered by Polimi at https://webeep.polimi.it ("Site"), you shall read carefully and agree to abide by these terms of service ("Terms"). By accessing and using WeBeep, you confirm that you have read these Terms and agree to be bound by and comply with them and with the privacy policy.
You shall abide by Polimi Regulations on personal data protection and ICT security [Regolamento per la protezione dei dati personali e della sicurezza dei servizi informatici – available in Italian only].
If you do not agree to be bound by these Terms, you cannot use the Site.
Polimi reserves the right to modify these Terms at any time: in this case you will be asked to abide by the new version of these Terms.
Rules for online conduct
WeBeep offers online spaces(corsi online / online courses) for component courses of degrees at Politecnico di Milano.
Online courses can include various resources, such as Course Materials, Forum, Announcements, Assignments; if you post on the Forum, your name and surname will be visible also to the other course users.
If you are a Polimi student, when you access WeBeep you should already find the online courses corresponding to the courses in your Study Plan. If you don’t see them, you can find the course you are interested in and request access to it. Enrolment to online courses is usually automatic and the student is authorised immediately. However, if the teacher set a manual enrolment mode for the course, the student will have to wait for the instructor’s approval to access it.
You agree to abide by all applicable laws and prevailing rules of conduct for computer and network use, notably by refraining from intentionally engaging in any activities that constitute or may give rise to:
- identity theft;
- modifying, altering or destroying data that does not belong to you;
- inspecting data belonging to other users without their authorization;
- connecting to or attempting to connect to an account without proper authorization;
- using the Site (or one of its features or integrated plugins) in a way that deviates from its planned purpose of supporting and complementing Polimi institutional teaching and learning;
- publishing, disclosing, circulating WeBeep content in any way or form and by any means, including by email or other electronic means, without the prior written consent of the of the rights holders;
- damaging, disabling, overcharging, impairing or disrupting the Site, the server or the network.
You further agree that you will not e-mail or post any of the following content anywhere on the Site:
- content that defames or threatens others;
- harassing statements or content that violates the applicable laws;
- content that discusses illegal activities with the intent to commit them;
- content related to partisan political activities;
- material that contains obscene (i.e. pornographic) language or images;
- advertising or any form of commercial solicitation;
- content that is otherwise unlawful;
- intentionally misleading or inaccurate content;
- content that infringes another's intellectual property, including, but not limited to, copyrights, trademarks or trade secrets.
Copyrighted material, including but not limited to software, graphics, text, photographs, sound, video and musical recordings, shall not be placed on WeBeep without the express permission of the owner of the intellectual property rights on the material, or other legal entitlement to use the material.
If you are a Polimi teacher and you want to publish the marks of assessments on your online course, you can only use the Matriculation Number to identify students they refer to. You are not allowed to indicate students through name and surname nor through Person Code.
You agree to indemnify and hold Polimi harmless from any claims, actions, demands, data losses or damages, including legal fees, arising out of, resulting from or in any way related to your use of WeBeep, your posting on WeBeep or your violation of these Terms.
User responsibilities
- It is your responsibility to keep a backup copy of any pages or files you create/upload on WeBeep: Polimi is in no way responsible for data loss.
- You have full individual liability for what you publish on WeBeep.
- It is your responsibility to set proper access controls whenever you make use of a feature that allows you to upload content to WeBeep, or to make contact with other users of WeBeep.
Content disclaimer
Polimi bears no responsibility for contents published and/or uploaded by users on the pages hosted on WeBeep.
Some of the pages of WeBeep may contain resources such as forums and blogs in which users are able to post messages for viewing by others. Polimi does not monitor the content of any such pages and will not be liable for the users' conduct, nor for the consequences that can arise from it.
Suspension and termination of the service
Under normal circumstances, the Site is accessible 24 hours a day every day of the week, except during service interruptions due to scheduled maintenance or emergency maintenance or due to the occurrence of a force majeure event. WeBeep assumes no liability for any data loss or damage of any kind resulting from the unavailability of the Site.
Polimi retains explicitly the right to make a course no longer available on WeBeep after 36 months from its end date according to academic calendar. After this period course material will be deleted. For this reason, if you are a Polimi teacher it is highly recommended that you create a backup copy of all course material and content that you wish to continue consulting.
Links to other sites
WeBeep may contain links or embedded links to third-party websites. Polimi has no control over such websites and does not endorse the content or the operations or services that might be associated with them. Polimi cannot accept any liability for such third-party websites.

Governing law
WeBeep is managed by Polimi, located in piazza Leonardo da Vinci 32, 20133 Milan, Italy. These Terms and [privacy policy] shall be governed by and interpreted according to Italian law. The provisions of each have been written in both English and Italian languages. Both versions shall be equally valid and effective but, in the event of inconsistency between the two versions, the Italian version shall prevail.

This Cookie Policy applies to the WeBeep platform (“Website”), which can be accessed electronically pertains to the domain https://webeep.polimi.it/ and managed by Politecnico di Milano - METID, C.F. 80057930150 P.IVA 04376620151.
What are cookies?
Cookies are small strings of text sent to the user of the website visited which are stored on the user's device and allow the website to recognize users and store certain information about them. Cookies can be retrieved during subsequent visits.
Cookies can be divided into the following categories:

- Profiling cookies: these allow information to be obtained about the user and may be used for unsolicited purposes, such as the display of advertising messages in line with the preferences expressed by the user while browsing. Article 122 of the Privacy Code states that: “the storage of information in the terminal equipment of a contracting party or user or access to information already stored shall be permitted only on condition that the contracting party or user has given his or her consent after having been informed in the simplified manner referred to in Article 13(3). - Analytics cookies: these are comparable to technical cookies and other identifiers if: "they are only used to produce aggregate statistics and in relation to a single website or a single mobile application; at least the fourth component of the IP address is masked in the case of third parties; third parties refrain from combining analytics cookies, thus minimised, with other types of processing (customer files or statistics of visits to other websites, for example) or passing them on to other third parties. Nature of the data
The provision of data is mandatory.
Refusal to provide the data makes it impossible to carry out the intended purposes.
Processing methods
The data processing for the purposes indicated above may be carried out on digital media, manually and/or with electronic tools.
Duly authorised persons are entitled to access the data acquired for the aforementioned purposes.
The setting of an online course on WeBeep implies that the request of any Polimi student who enrols to access it is automatically accepted. The teacher can modify the access settings of the course so that students can only access upon the instructor’s authorisation.
For each online course WeBeep offers the following resources: Course materials, Forum, Announcements, Assignments; if you post on the Forum, your name and surname will be visible also to the other course users.
Students can also access the course named "Corso Comune” to share information: also in this case name and surname of those who post on the Forum are visible to the other users.
Platform usage data can be processed by Politecnico di Milano, ensuring adequate security measures, to carry out statistical analyses and scientific research activities within the University.

For the above purposes, the data may be communicated to Italian or international public or private entities, companies or persons that provide services on behalf of the Controller:
- parties and other institutions that work with Polimi to provide courses, such as other universities, companies (for co-managed courses) and external bodies, including partners of any projects funded by the European Union;
- parties providing software for WeBeep-integrated teaching;
- parties providing outsourcing services or acting as technicians operating on WeBeep's equipment and programs;
- bodies/authorities for issuing public key certificates.
Personal data retention period
- course data: 3 years after the end of each course
- general records of WeBeep: data will be cancelled after 10 years of user inactivity
Transferring data to non-EU countries or international Organisations
Personal data will not be transferred in any way to countries outside the EU or any international Organisation.
Data subject rights
As the data subject, you may request from the Controller:
- confirmation of the existence or otherwise of personal data concerning you;
- access to your personal data and related information;
- correction of inaccurate data or completion of incomplete data;
- deletion of your personal data (under one of the conditions indicated in Art. 17, paragraph 1 of the Regulation and in respect of the exceptions envisaged by paragraph 3 of that Article);
- the restriction of processing of your personal data (in the presence of one of the circumstances indicated in Art. 18, paragraph 1 of the Regulation), the transformation into anonymous form or block on data processed in violation of the law, including data whose storage is no longer necessary for the purposes for which it was collected or processed.
As data subject, you have the right to partly or fully object:
- on legitimate grounds, to the processing of your personal data, even if it is relevant for the purpose for which the data was collected;
- to the processing of your personal data for the purposes of sending promotional material on training initiatives and Politecnico di Milano’s events.

If you believe that your rights have been violated by the data controller or a third party, you can lodge a complaint with the Data Protection Authority, or another relevant supervisory authority under the Regulation.
